Front Desk Coordinator (Physical Therapy Office)

Location: Aurora, IL

Status: Full-time (40 Hours/Week)

Summary

Responsible for assisting the clinicians with all of the administration of medical records and patient contacts. Provides quality patient services, assist the patient with information, provide all referral intake, verifications/ authorizations and generally keep the clinic running efficiently, as your primary responsibilities. The scope of work includes planning, organizing and assisting with billing and the transfer of information to Integra for billing and collection purposes, and maintaining a clean, safe and efficient clinic environment. Assists in various administrative duties as necessary with licensed and trained PT, PTA, OT, COTA and/ or ATC.

Essential Duties and Responsibilities

The essential duties and responsibilities include the following. Other duties may be assigned.

  • Assists, as needed, with receiving incoming telephone calls for clinic, obtains caller’s name, and forwards call to appropriate person or takes a message.

  • Greets patients and visitors in a polite and professional manner and provides information and assistance to them.

  • Schedules appointments, orders supplies as directed by the Clinic Manager, maintains waiting room, performs word processing, assists with report generation, and other clerical duties.

  • Regulates flow of laundry, as needed.

  • Deals appropriately with co-worker or patient conflicts

    • Utilizes appropriate communication techniques for internal/external customers (everyone).

    • Resolves issues with peers/utilizes manager as mediator/resource appropriately.

    • Proposes solutions to concerns/problems/issues.

  • Maintains positive behavior at work with internal/external customers.

  • Exhibits a willingness to adopt to changing environment including various locations as needed.

  • Maintains appropriate confidentiality.

  • Intake of new patient referrals.

  • Verification/ Authorization of all new patient referrals.

  • Provide all information (regarding intake, verification and authorization) to Integra for billing.

  • Achieves goals and strives to improve quality.

  • Adheres to policies and procedures including vacation/time off, punctuality/attendance

  • Maintain clean, safe working environment to facilitate quality of patient care, and efficient operations.

  • Recommends appropriate supplies and equipment for front office and therapy clinic.

  • Recognizes and responds appropriately in emergency situations.

  • Participates in staff meetings.

Education and/or Experience

Required:

  • High School Diploma OR equivalent

Preferred:

  • Spanish Speaking
